Memberships

RTS provides a flexible and customizable Membership system that integrates seamlessly with your existing loyalty program.
This system allows you to create and manage multiple membership tiers, each with its own set of benefits, including exclusive ticket types, rewards, and points systems.
Whether you're offering special pricing, rewards, or point exchanges, RTS gives you the tools to build a more personalized experience for your customers.
Notes
Note: In the Memberships setup area, the DEFAULT RTS program is the basic, free program that mirrors the old loyalty program.
It is set as the Default Program if no other memberships have been added.


Configuring Memberships

  1. To access the Memberships setup area navigate to Setup > Mag Cards > Memberships.

Adding A New Membership Program

"Start by clicking the 'Add Program' button and entering a name for your new membership program.
Then, fill in the relevant fields to customize the membership.
  1. Set the Membership Type and Length to define how long the membership will last before renewal.
    1. For example, the membership in the above image will last 30 years.
  2. Enabling the Default Program checkbox sets the membership as the default rewards program in RTS.
  3. Checking the Disable All Fees box removes ticketing and transaction fees for the member.
  4. Purchase Cost is the price a customer pays to purchase the membership, while Renew Cost is the fee charged for renewal.
  5. The Discount setting applies a percentage discount to concession items for members, but only on items configured to allow it.
  6. Reminder Before Expiration (Days) sets the number of days before membership expiration when RTS will attempt to recharge the member's payment method.
    1. This feature is only applicable to membership levels using autopayments through a third-party API (e.g., MobileMovieGoing, TheaterToolkit, BoxOffice).
  7. The Sales Reporting Item will automatically be assigned to your program name, but you can change it to any name you prefer.
    1. This will appear in the Sales Log/Reports when a membership is sold.
    2. If your location uses a separate mag card server, add a new concession item with the same name as the Sales Reporting Item at all locations to ensure consistent reporting.
  8. The Point Redemption Reporting Item determines how redeemed points appear in reports, while the Point Earn Reporting Item tracks how earned points are recorded in reports.
  9. Points Earned to Auto-Unlock is the number of spendable or ladder points required to upgrade to the next membership tier for free.
    1. For example, if this field is set to 150 for the 'Silver' tier, a member must accumulate 150 points while enrolled in the previous tier to automatically unlock the Gold membership.
    2. Membership tiers progress as you move down the list of Programs on the left side of the window.
      1. For example, 'Default RTS' is the base tier, followed by 'Silver' as the next level up.
  10. If the Ladder Expire Settings checkbox is enabled, all points earned toward auto-unlocking the next tier will reset annually.
    1. This does not affect the total points earned, only the tracking of points for tier progression.
    2. For example, if enabled, points will reset every January 1.
  11. Renewal Settings (Days Before Renewal): Defines how many days before membership expiration the auto-renewal attempt will be made.
    1. This feature is only applicable to membership levels using autopayments through a third-party API (e.g., MobileMovieGoing, TheaterToolkit, BoxOffice).

Point Earning Configuration

The Points Settings tab allows you to define how points are earned within a membership, giving you full control over how customers can receive points for their purchases.



  1. In the Earn Points section:
    1. Ticket: Enables members to earn points on ticket purchases.
    2. Concessions: Enables points to be earned on concession purchases.
    3. Gift Purchase: Enables points to be earned when buying or reloading a gift card.
  2. In the Additional Options section:
    1. Round Partial Points: Allows points to automatically round to the nearest whole number.
    2. Hide Points On Receipt: Allows you to hide the amount of points earned for a purchase on printed receipts.
    3. Earn Points Purchasing With Gift Card: Allows customers to earn points when using a gift card as their payment method.
  3. The Points Earn Type settings let you customize how customers earn points:
    1. Per Dollar: Customers earn a set number of points per dollar spent.
    2. Percentage of Purchase: Customers earn points based on a percentage of their total transaction amount.
  4. Concession Points Earn Rate: Sets the number of points earned per dollar spent on concessions.
  5. Daily Max Points: Defines the maximum number of points that can be earned in a single day.
  6. Minimum Points to Spend: Sets the minimum number of points required before they can be redeemed for rewards.
  7. Point Multiplier: Lets you apply a multiplier to the points earned on purchases.
    1. By default, this is set to 1, meaning points will be earned as specified without any multiplication.

Based on the membership shown in the image above, here’s the setup:

  • You earn 1 point per dollar spent, with a daily maximum of 10 points.
  • There is no minimum points requirement to redeem rewards.
  • No multiplier is applied to the earned points.
  • Points can be earned on both Ticket and Concession purchases.

Enabling Tickets Types to Earn Points

  1. Navigate to Setup → Tickets → Price.
  2. Highlight the desired price category and click Edit.
  3. Select the ticket type you want to earn points.
  4. In the Reward Points box (located above the enabled checkboxes), specify the number of points the ticket should earn. This is a customizable amount.



Enabling Concessions to Earn Points

  • Navigate to Setup → Concessions → Items.
  • Select the item you wish to enable for points.
  • Click on the Settings tab.
  • Set Earns Points to True.
  • Repeat steps 2 through 4 for each relevant item.
  • Click Save.




  • Item Upgrades Configuration

    In this tab, you can set a concession item to be offered at a lower price for each membership tier.




    1. After clicking the Add button, a new menu will appear.
    2. From there, select the main item (Selling Item) and the upgrade item (Use Price From Item).
      1. Common examples include offering a large popcorn at the price of a small or a large combo at the price of a medium combo.

    Point Rewards Systems

    The RTS membership system offers two types of rewards programs, along with Registration Rewards for new members and Automatic Rewards.
    The two reward systems are the Ladder Program and the Spendable Points Program.

    Notes
    The Ladder and Spendable Points systems will function the same way as in the original loyalty program, but with memberships, you can have both systems set up simultaneously.

    Ladder Program

    In the Ladder System, rewards are predetermined and automatically awarded when customers reach specific point thresholds.
    There is no flexibility or substitutions.
    For example, if the reward for 50 points is a candy bar and a customer cannot eat candy bars, they simply do not receive that reward.
    Once the top of the ladder is reached, the cycle restarts.
    For example, if the top is 500 points, reaching 501 is treated as 1 point in the system.
    Points are never "used" or removed from the card in this system.


    Spendable Points Program

    In the Spendable Points System, you can configure various point amounts with corresponding rewards.
    Customers can save their points for higher-value rewards or spend them as desired (such as exchanging them for money credits, if configured).
    To spend points, after entering a card on the selling screen, double-click the top right where the card number appears and select 'Spend Points'.



    Adding Rewards

    The process for adding reward items is nearly identical for both the Ladder and Spendable Points systems.

    To add a reward:
    1. Select the item from the drop-down box located between Reward Setup and the Add Reward button.
    2. Click the Add Reward button.
    3. Enter the number of points required to redeem the reward item.
      • For the Spendable Points system, also enter the points needed for redemption online.
    4. Enter the number of days the reward will be available after redemption.
      • If there is no expiration, leave it set to zero.
    5. Set the quantity of the item the reward will provide the customer.
      • Typically, this is set to 1 item per redemption, but in special cases, you may choose Unlimited Amount for the item when redeemed.


    Registration Rewards Configuration

    Registration rewards function the same as they did in the original loyalty program, with the added flexibility to set up different rewards for each membership tier.
    Once a customer purchases or auto-unlocks a specific membership tier, they will receive these registration rewards.


    To set up Registration Reward:

    1. Select the item you wish to add as a reward from the drop-down box.
    2. Choose the number of those items you wish to offer as a reward for registering.
    3. Set the Start Date (set to zero to make the item available immediately).
      • The Hour option on the Start Date allows you to set how many hours must pass after registration before the reward is available, preventing redemption until that time has passed.
      • The Days option on the Start Date allows you to set how many days must pass before the reward is available, with midnight being the trigger for when the day has passed.
    4. Set the End Date (set to zero if no expiration date is needed).
      • The Days option on the End Date allows you to set how long the reward stays active and redeemable after registration. When that many days have passed, the reward expires, with midnight being the trigger for when the day has passed.

    Automatic Rewards Configuration

    In the Automatic Rewards Setup window, you can set up rewards for events like birthdays, membership anniversaries, or recurring weekly, monthly, or yearly rewards.



    To add an Automatic Reward:
    1. Select the Enable Reward checkbox.
    2. Choose the reward item from the Item drop-down box.
    3. Specify the amount of the item for the reward.
    4. Set the Expiration setting for the reward item.
      1. Expiration can be set in Days, Months, Years, or as Never Expires.
    5. Provide a Display Name for how the reward will appear.
    6. Choose the type of automatic reward:
      1. If the reward type is Birthday or Anniversary, the reward will trigger automatically on the birthday in the member's information or the yearly anniversary of their membership purchase.
      2. If Day of WeekDay of Month, or Day of Year is selected, additional drop-down boxes will appear above the Add Item button to specify when the reward will automatically apply to the membership holder.
    7. Select the Add Item button to add the configured reward to the membership.

    Point Exchange Configuration

    The Point Exchange tab functions the same as the original loyalty program but is configurable for each membership level.
    Customers can exchange their points for a dollar value, which can be used for purchasing concession items.
    Warning
    This value cannot be redeemed for movie tickets.


    1. Point Value: The number of points required to receive the associated Dollar Value.
    2. Dollar Value: The money credits earned when exchanging the specified point value.
    3. Is One Time Use: Enable if the credits can only be used in a single transaction.
    4. Available After: Specifies how many hours or days must pass before the Point Exchange value is available for use. This prevents redemption until the set time has passed.
      1. Set to zero for immediate availability.
      2. Example: If credits are exchanged on 1/1/18 6:30 PM with a 1-day start offset, they will be available for redemption on 1/2/18 12:00 AM.
    5. End After: Specifies how many days the Point Exchange value is available before it expires.
      1. Set to zero for no expiration.
      2. Example: If credits are exchanged on 1/1/18 6:30 PM with a 30-day End After setting, the credits will expire after 30 days, with midnight being the trigger for when the day ends.

    Selling A Membership

    1. Customer Registration
      1. Ensure the customer has a registered mag card or gift card.
      2. If the customer does not have one, go to Menu → Register Card, fill out the necessary information, and select Register With Card.
    2. Enter the Card into the Selling Screen
      1. While in the Selling Screen and either click the Enter Card button or go to .
    3. Select the Membership
      1. Double-click or tap the top-right area of the screen where the card number appears in the transaction list.
      2. A drop-down list will appear showing all available memberships to sell.
      3. Choose the desired membership from the list.
    4. Default Program
      1. A membership set as the Default Program will not appear in this list.
      2. If no membership has been selected, simply register the loyalty card as normal, and the default program will automatically be applied.


    Requiring A Membership For Specific Tickets

    RTS allows you to set certain ticket types to be available only for specific memberships.
    To enable this for specific tickets, follow these steps:
    1. Navigate to Setup → Tickets → Price.
    2. Choose the Ticket Price Category you are using, then select the Edit button.
    3. In the Setup Tickets window, select the relevant ticket type from the list on the left.
    4. In the bottom right section, labeled Required Membership, you can specify the membership(s) required to access the ticket type.
    This ensures that only customers with the appropriate membership can purchase or access the selected ticket types.



    Additional Membership Expiration Tools

    When refunding a transaction that includes the sale of a membership, RTS will prompt you with an option to Expire the Membership.

    • If you choose to expire the membership, the membership will be deactivated and no longer valid for the customer.
    • If you choose not to expire the membership, the membership will remain active, and only the transaction will be refunded.

    This prompt allows you to manage memberships effectively during the refund process.



    RTS will also display any expired memberships in the Lookup Registered Card window.

    • This allows you to easily identify and manage expired memberships for your customers.
    • Expired memberships will be shown alongside active memberships, making it simple to track their status.
